Privacy statement

This privacy statement explains when and why Polaris Health BV (hereinafter “Polaris”) collects and uses your personal data. Personal data means any information relating to an identified or identifiable natural person (the data subject). We consider it important that you are aware of this statement and of how we process personal data, and we therefore ask you to read it carefully.

Polaris emphasises that it makes every effort to act in accordance with (i) EU Regulation 2016/679 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, repealing Directive 95/46/EC, and (ii) the Belgian Act of 30 July 2018 on the protection of natural persons with regard to the processing of personal data.

Collection of personal data

Polaris collects your personal data for several purposes.

Data you provide to us

We collect, store and process any information you provide to us (through our contact form). This information may be processed for the purposes described below:

  • To handle your enquiry when you ask us for advice, we collect your contact details and the question you submit to us.
  • To send you our newsletter when you subscribe, we process your name and email address.
  • For the general administration of your membership and related activities, we collect your business details such as profession, postal address, telephone number (landline and/or mobile) and email; and information relating to your membership (date, type of membership, participation in groups).
  • To provide the services associated with your membership.
  • Any other information you have voluntarily provided (e.g. in the context of surveys and/or website registrations and/or questions submitted to us).

The personal data above is processed on the basis of Article 6.1 (a and b) of the General Data Protection Regulation, namely the necessity for the performance of a contract and/or the consent you have given for the processing of your personal data.

  • To comply with our accounting obligations, we collect your billing details (such as your name and account number).

The personal data above is processed on the basis of Article 6.1 (c) of the General Data Protection Regulation, namely our statutory accounting obligations.

Automatically collected information

Each time you visit our website or receive our newsletter, we collect information through cookies and other techniques. For more information about this, please see our cookie statement below.

Retention period

We do not retain your personal data for longer than is necessary for the purposes set out in this privacy statement.

If you subscribe to our newsletter, we retain your personal data until you unsubscribe.

If you submit a question to us, we retain your personal data for 1 year.

Security

Your data is processed by us confidentially. We implement various technical and organisational security measures in such a way that the processing meets the requirements of the GDPR.

Information from third parties

We may also receive information about you from third parties (e.g. the organisation you work for). We may use this indirectly obtained information to verify and supplement the information we obtain directly from you, in order to keep your personal data complete and up to date.

Transfer of personal data

Your personal data may be shared with our processors when this is strictly necessary for the provision of Polaris’ services. Polaris obliges its processors to process personal data in a secure and confidential manner by entering into a data processing agreement or similar agreement with them.

In addition, we will not transfer the data you provide to third parties unless this is legally required and permitted. Your personal data will not be transferred to third parties outside the European Economic Area, unless there is an agreement with that third party implementing standard contractual clauses, or an adequacy decision exists for the country in question.

Your rights

The GDPR grants individuals rights with regard to the personal data Polaris holds about them. You can exercise these rights free of charge by sending an email to privacy@polaris-health.ai or privacy@cavell.ai. As a data subject, you can exercise the following rights:

  • Right of access: you can request access to the personal data we hold about you.
  • Right to rectification, erasure, restriction: you have the right to have personal data corrected or, in certain circumstances, completed, or to have your personal data deleted from our records.
  • Right to object: if you do not wish to be kept informed, you have the right to submit a request by emailing the address above or clicking the unsubscribe link in our emails.
  • Right to data portability: this means you can request that your data be transferred to another organisation in a machine-readable standard format.
  • Right to withdraw your consent at any time.
  • Right to request that automated decision-making be stopped. Polaris does not make use of automated decision-making, so no rights can be derived from this.
  • Right to lodge a complaint. If you have a complaint about the processing of your personal data, we ask you to contact us directly at privacy@polaris-health.ai or privacy@cavell.ai. If you believe at any time that Polaris is infringing your privacy, you have the right to lodge a complaint with the Belgian supervisory authority at https://www.gegevensbeschermingsautoriteit.be/burger/acties/klacht-indienen.
